Office Coordinator for PT Department

This position’s main responsibility will be to supervise the schedulers at all therapy locations and facilitate the daily tasks required to maintain the efficiency of the front desk.

Position Requirements:

Required Education: Four year Degree

Experience: 1-2 years in management and medical office experience preferred  

  • Manage scheduling staff at all locations
  • General overseeing of the front desk for completion of daily tasks
  • When needed, assist schedulers with patient check in/check out, including appointment scheduling, message taking, referrals, and cash drawer
  • Facilitate work flow of getting patients in and out efficiently
  • Conduct lobby checks to ensure patients are not missed or overlooked in the lobby
  • Work as a representative to resolve patient complaints/issues
  • Implementation of Kiosk and training employees on Kiosk
  • Answer staff questions
  • Train all new schedulers and identify additional training as needed for staff
  • Run monthly audits for schedulers
  • Work with Billing Manager
  • Work with Clinic Coordinators
  • Responsible for hiring staff
  • Responsible for staff’s daily time cards, request for leave off and coverage
  • Responsible for conducting performance reviews and determining appropriate salary increase
  • Willing to travel to satellite locations for monthly and quarterly meetings
  • Must possess ability to multi-task in a busy environment
  • Must possess the ability to communicate effectively and professionally with patients, physicians, and co-workers.

Position: Medical Secretary (Full-Time)
Locations: TOC Main, Madison and Scottsboro
Responsibilities/Requirements:

Non-Clinical:

  • Check-out patients, collect co-pays and/or deductibles and schedule tests and follow-up appointments
  • Pre-cert and schedule surgeries
  • Verifying insurance for surgery and collecting deductibles
  • Schedule surgeries
  • Prepare surgery packets
  • Complete Work Restriction forms
  • Present forms to the doctor that require his signature
  • Assist with patient questions
  • Assist with disability forms
  • Assist with telephone calls

Must also possess:

  • Ability to communicate effectively with patients, TOC physicians and staff
  • Ability to work under pressure and deadlines
  • Outstanding organizational, verbal and writing skills

Position:  AR Auditor – UHC, Cigna, Aetna, and Humana
Office Location: TOC Lowe Facility
Responsibilities/Requirements:

  • Answer billing calls from patients and assist with account resolution
  • Process claims, referrals, crossovers and authorizations
  • Knowledge of CPT codes and charges preferred
  • Work AR work list as assigned
  • Print records requested for proper claims processing
  • Ability to communicate well with patients, physicians and staff
  • Self-motivated and ability to work independently
  • Positive “teamwork” attitude
  • Ability to master the SystemedX computer system
  • Ability to utilize software applications to process claims, research statements, research accounts

Position:  X-Ray/MA (FT; 40 hrs/wk)
Responsibilities/Requirements:

  • Perform x-rays
  • Perform general nursing duties
  • Perform suture/staple removal
  • Perform wound care/dressing changes
  • Drawing up meds; calling in medications
  • Application of sterile fields
  • Locate any necessary films, test results, and/or reports for upcoming appointments
  • Schedule tests/procedures, precert as needed
  • Prepare exam rooms, restock supplies for clinic, power up computers, etc.
  • Prepare charts for clinic and print out patient information as requested by physician
  • Assist with verifying pre-op labs and scheduling surgery clearances as needed
  • Assist other physician team members as needed
  • Fill out disability, return-to-work and insurance forms
  • Obtain physician signature on miscellaneous forms
  • Friendly and Professional patient communication
    • Answering and returning patient phone calls

    • Escorting patients to and from exam rooms

Position: DME Department Orthotic/Brace Fitter
Location: TOC Main and potential satellite locations
Responsibilities/Requirements:

  • In clinic (including main & satellite locations) and hospital (pre and post surgical) fittings of various orthopedic devices
  • Communication with physicians and clinical staff for patient care
  • Chart entry of required documentation
  • Rotating on-call (after office hours) 
  • Proper selection and application of orthopedic devices
  • Any other tasks as assigned

  • Ability to work under pressure
  • Outstanding organizational, verbal and writing skills

POSITION PURPOSE: To examine, plan, and administer occupational therapy treatments to patients referred by appropriate professionals (physicians, nurse practitioners, physician assistants, dentists, and podiatrists)   

POSITION REQUIREMENTS:

Required Education: Bachelor, Masters, or Doctor in Occupational Therapy degree from an accredited Occupational Therapy Program

Required License/Certification: Current Occupational Therapy license in the State of Alabama.  CPR certification

Experience: No experience required. 

SKILLS AND ABILITIES: Those obtained through completing the above degree and obtaining professional license.

PHYSICAL DEMANDS:

  • Must be able to use arms, hands, and fingers skillfully
  • Frequent use of forceful exertion during treatment
  • Frequent moving, pushing, pulling of heavy patients and/or equipment
  • Constant standing and walking
  • Must be agile and able to work efficiently in space limited areas

ENVIRONMENTAL CONDITIONS:

Inside, protected from weather conditions, occasional exposure to harsh weather, when assisting a patient in and out of clinic.  Exposure to toxic disinfectants and body secretions.
